Position Summary:

CCWESTT is seeking a highly organized, detail-oriented Administrator to support the Coalition’s day‑to‑day operations. This is a part-time contract (20 hours/week) until March 31, 2027, with the possibility of extension pending performance and funding availability.

Compensation:

$25,000 – $30,000 annually (for 20 hrs/week), based on training and experience.

Location:

  • Remote, work-from-home. 
  • The Administrator may be located anywhere in Canada.

Closing Date: Applications will be reviewed beginning June 5. The position will remain open until filled. Interviews will be held via videoconference. 

Organization Description:

CCWESTT is a national coalition of organizations and individuals who champion a gender equitable, diverse, and inclusive Canadian Science, Engineering, Trades and Technology (SETT) workforce. We collectively support over 500,000 people in our network. We build alliances and partnerships, act as a resource hub, and advocate with a strong, unified voice.

Responsibilities:

  • Administrative Support (Primary Focus) 
  • Provide day-to-day administrative support to our Executive Director and the CCWESTT team  
  • Maintain organized digital filing systems and administrative records  
  • Support coordination of board meetings (scheduling, materials, follow-up)  
  • Draft agendas for review and prepare board meeting minutes  
  • Track and follow up on board and project task lists  
  • Respond to general inquiries (email, voicemail, website forms)  
  • Track and maintain various organizational statistics
  • Conduct basic research as needed (e.g., sector scans, member information, resource gathering)  
  • Support process improvements related to data collection and reporting    
  • Perform other emerging administrative duties as identified  

Relevant Experience and Skills

The successful candidate will demonstrate:  

  • Post-secondary education in administration, business, communications, or a related field  
  • Strong organizational skills and attention to detail  
  • Ability to manage multiple tasks and work independently  
  • Comfort working with spreadsheets and basic financial tracking  
  • Strong written and verbal communication skills  
  • Commitment to Equity, Diversity, and Inclusion, with the ability to apply an inclusive lens  
  • Ability to support process improvement and member-focused initiatives  

Assets

  • Bilingualism (French and English)  
  • Experience in not-for-profit administration  
  • Familiarity with financial administration  
  • Experience with CRM systems or membership management tools
